Reimbursement of expenses will take place after the event as an expense claim based on provided documents. Only expenses with original expense receipt will be reimbursed thus, all receipts for the reimbursable expenses must be kept and uploaded when making the reimbursements.
Together with the expense claim form, a short report on the activity will have to be submitted.

Yes. You may apply for an EMBL course even if its application deadline coincides with the EMERALD evaluation deadline. Please note that we cannot guarantee a positive funding decision in advance. The outcome depends on the number and quality of submitted proposals and on maintaining a balance between different types of activities (e.g., courses vs. collaboration visits).

According to EMBL, course applications are evaluated 2–3 weeks after the application deadline. The registration fee is paid only after acceptance, and applicants may withdraw their participation before results are announced. This means you can submit your EMERALD funding application even if you are still awaiting the EMBL decision.

A recommended approach is:
- submit your EMBL course application by their deadline,
- submit your EMERALD funding application in parallel,
- once EMBL announces results (2–3 weeks later), confirm your participation or withdraw if funding is not secured.

- institutional background (participants from widening countries receive additional consideration),
